Privacy Policy

We collect information you provide directly, including:

• Your email address (used for sign-in via one-time code)
• Your full name and professional role (entered during setup)
• Equipment photos you capture within the app
• Structured data extracted from those photos (model numbers, serial numbers, voltage ratings, etc.)
• Project and folder names you create

We do not collect passwords. Authentication is handled exclusively through one-time codes sent to your email address.

Your information is used to:

• Provide and operate the FieldSnap service
• Authenticate your identity securely via email OTP
• Store and sync your projects, scans, and extracted data to the cloud
• Improve AI extraction accuracy over time (anonymised aggregate data only)
• Send you important service notifications (e.g. security alerts)

We do not use your data for advertising or sell it to third parties.

Your data is stored securely using Supabase, a GDPR-compliant cloud infrastructure provider. Data is encrypted at rest and in transit using industry-standard TLS.

Equipment photos are stored in private, access-controlled cloud storage buckets. Only you can access your own photos and project data.

AI processing is handled by the Google Gemini API. Photos sent for analysis are not stored by Google beyond the duration of the request.

We do not sell, rent, or share your personal information with third parties for their own purposes.

We may share data with:

• Supabase — database and storage infrastructure
• Google — AI photo analysis (data is not retained by Google)
• Law enforcement, if required by applicable law or to protect our legal rights

If you choose to export or share a report from within FieldSnap, you control who receives that data.

We retain your data for as long as your account is active. If you delete your account:

• Your profile information is permanently deleted within 30 days
• Your projects, scans, and photos are permanently deleted within 30 days
• Anonymised, aggregated usage data may be retained for service improvement

You can request earlier deletion by contacting us at hello@fieldsnap.org.

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data ("right to be forgotten")
• Export your data in a portable format
• Withdraw consent at any time

FieldSnap is designed for professional use and is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us immediately at hello@fieldsnap.org.

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective Date" at the top of this page and notify you via email or an in-app notice.

Your continued use of FieldSnap after changes take effect constitutes your acceptance of the updated policy.
